Your Data
Privacy Policy
How Belbin Scotland collects, uses and looks after your personal data, and the rights you have over it.

Last updated: 13 October 2026
1. Introduction
Welcome to Belbin Scotland. This Privacy Policy explains what we do with personal information when you visit our website, enquire about our services, or complete a Belbin assessment. It describes how we collect, use and process your personal information. Your privacy is important to us and we are committed to protecting and safeguarding your rights.
For the purpose of the UK GDPR, Belbin Scotland is a trading name of White Cube Consulting Ltd, a company registered in Scotland (company number SC525632), whose registered office is at First Floor, 5 Abercrombie Court, Prospect Road, Arnhall Business Park, Westhill, AB32 6FE. We are the Licensed Belbin Distributor for Scotland, operating under licence from Belbin Limited. In this policy, “we”, “us” and “our” mean White Cube Consulting Ltd.
We act in two different capacities: as a data controller when you visit our website, contact us, or buy a report for yourself; and as a data processor when we process your data as part of a service provided to your employer or another organisation you are affiliated with. Where an organisation buys Belbin reports for its people, that organisation is the data controller and decides how the reports are used and how long they are kept.
Our registration with the Information Commissioner’s Office (ICO) is ZB202207. Please see section 9 for our contact details. We may amend this Privacy Policy from time to time by posting an updated version on this page.
2. Information we collect about you
We will use and process your personal information, where you have requested us to do so, for the following purposes:
- to register you as a user of our site;
- to provide you with online testing inventory services as requested by you;
- to comply with a request from you in connection with the exercise of your rights (for example, where you have asked us not to contact you for marketing purposes, we will keep a record of this on our suppression lists in order to be able to comply with your request);
- to manage queries, complaints or claims;
- to arrange and deliver workshops, accreditation courses and other services you have booked; and
- for marketing purposes, where you have given us your consent.
Depending on how you deal with us, the information we hold may include:
- Identity data - your name, job title and the organisation you work for.
- Contact data - your email address, telephone number and postal address.
- Financial and transaction data - billing details and a record of what you have bought. Card details are handled by our payment provider and are never stored by us.
- Profile data - your responses to the Belbin Self-Perception Inventory, any Observer Assessments completed about you, and the reports produced from them. If you complete a Self-Perception Inventory we may also collect your organisation, department and gender, which are used for the scripting and filing of reports, not in the calculation.
- Marketing and communications data - your preferences for receiving marketing from us.
- Usage data - how you found and moved around this website, collected only if you accept analytics cookies.

3. Direct marketing
We carry out direct marketing only where you have asked to hear from us, and it is sent by email. You can opt out at any time by clicking the unsubscribe link in any message, by emailing [email protected] or by calling 01224 531524. We keep a record of your opt-out so that we can honour it.
Where you complete a Belbin questionnaire, you are given a separate opportunity to consent to marketing. That consent is recorded and held separately from the assessment itself, and declining it does not affect your report.
4. Sharing your information with third parties
We do not sell your personal information, and we do not share it for anyone else’s marketing. We share it only where it is needed to deliver what you have asked for:
- Belbin Limited, who operate the Belbin web application used to administer questionnaires and generate reports. Belbin Limited’s own privacy policy is at belbin.com/privacy.
- Your Belbin account holder, where an organisation has commissioned your report. They will be identified before you complete your assessment. We are not responsible for how an account holder uses or shares reports once they have them.
- Our service providers: Stripe, which processes card payments, HubSpot, our email and CRM provider, Cloudflare, our website host, and our accountant. Each is bound by a data protection agreement and may use your data only to provide the service to us.
Your data is accessible to our contractors who have data protection agreements in place with us, and will be anonymised when used for research purposes. As part of Belbin’s research, collated and anonymised data may be shared publicly. If you complete an Observer Assessment about someone else and that person asks to see their data, your identity is protected.
We may also disclose personal information where we are required to by law, or to establish, exercise or defend legal claims.
5. How we store your information
A) Website. This website is hosted by Cloudflare and served through their global content delivery network. Information gathered through this website for marketing purposes, including enquiry forms, is held by HubSpot, our CRM provider, on servers in the European Union under a data protection agreement that complies with applicable data protection law.
B) Payment information. Payments are processed by Stripe. When you pay for a report, you enter your card details on a secure page hosted by Stripe, not on this website: your card number never reaches our systems and we never see or store it. Stripe handles the payment as a data controller in its own right and under its own privacy policy, and uses the details you give it to take the payment, to meet its legal obligations and to prevent fraud. We receive confirmation that the payment succeeded, the amount, the name and email address you used and a record of what was bought. Order and accounting records are held in our own systems and with our accountant.
C) Belbin reports. All personal information collected and processed through the Belbin web application when completing an assessment is stored on Belbin’s secure servers located within the UK for up to three years. You can ask for your assessment data to be anonymised or deleted at any time.
How long we keep your information. We keep personal data only as long as we need it:
- Enquiries that do not lead to work: 2 years from our last contact with you.
- Customer and order records: 6 years after the end of the financial year they relate to, as required for tax purposes.
- Belbin assessment data and reports: up to three years, as above, or sooner if you ask us to delete them.
- Marketing preferences: until you unsubscribe, after which we keep a minimal record so that we do not contact you again.
6. International transfers outside the UK
Some of the providers we use are based outside the UK. Enquiry and marketing data held by HubSpot is stored in the European Union. Stripe is a global payment business and may process payment data outside the UK and the European Union. Where your information is processed or stored outside the UK, we make sure appropriate safeguards are in place for that transfer and storage, as required by applicable data protection law. Belbin assessment data itself is held on servers in the UK.
7. Cookies
When you first visit this site you are asked whether to allow analytics cookies. Nothing that identifies you or tracks your visit is set unless you accept. If you decline, the site works exactly as it does otherwise.
If you accept, we use Google Analytics to understand how the site is used, and our CRM provider’s tracking so that we can see which pages someone looked at before getting in touch. Our Cookie Policy lists every cookie, what it does and how long it lasts. You can change your mind at any time using the Cookie settings link in the footer, and you can clear cookies in your browser at any time.
8. How we safeguard your information
We take steps to ensure that any third-party partners who handle your information comply with data protection legislation. We disclose only the personal information necessary for them to provide the service they are undertaking on our behalf, and we aim to anonymise information or use aggregated data sets wherever possible.
This site has security measures in place to protect against loss, misuse, accidental or unlawful destruction, and unauthorised access to the information under our control. Pages containing personal information are password-protected, connections are encrypted, and password resets can only be sent to the email address registered for the user.
9. Your rights
Under data protection law you have rights in relation to your personal data, including the right to:
- Access your personal information - request a copy of the personal information we hold about you, and ask us to modify, update or delete it. Where we are legally permitted to refuse a request we will always tell you why.
- Rectification - ask us to correct personal information that is inaccurate or incomplete.
- Erasure - ask us to erase your personal information in certain circumstances. We would only refuse in limited circumstances, and we will always give our reason.
- Restrict processing - ask us to pause the use of your data while a question about it is resolved.
- Object - object to processing we carry out on the basis of our legitimate interests.
- Data portability - ask for the data you gave us in a commonly used electronic format.
- Withdraw consent - where we rely on your consent, withdraw it at any time, without affecting anything done before you withdrew it.
Where an organisation commissioned your Belbin report, please contact your account holder in the first instance, since they are the controller of that data. If they do not respond, contact us and we will help.
If you are unhappy with how we have handled your data, please contact us first and we will do our best to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
